eMatch Portal Guide, Part 1: Interfaces

Pending

This is the first page you will see upon logging in. It is a logic driven page where donors land as soon as they fill out the short form on your eMatch link. Donors may also arrive in this bucket via manual addition, from a file import, or an API query. 



Completed

This is a logic driven page. When both 2 (or 3 in cases requiring NPO signatures) matching gift criteria are met, the donor will automatically land in the completed section of eMatch Portal.



Rejected

This is a section where rejected donors may be placed. This is not a logic driven page and therefore the donor must be highlighted within eMatch Portal, and the status changed to “Rejected”.  A donor Status can be changed by right clicking on the donor and selecting “Change Status to”.



 More Information

This is a section where donors may be placed who require more information. This is not a logic driven page and therefore the donor must be highlighted within eMatch Portal, and the status changed to “More Information.”  A donor Status can be changed by right clicking on the donor and selecting “Change Status to.” 



Needs Follow Up

This is a logic driven page. Donors who sit in Pending or More Information for more than 4 weeks, without a status change, are automatically moved to “Needs Follow Up”. To remove a donor from “Needs Follow Up”, you must select that donor and alter the donor’s profile (E.g. Add a note, change a matching status, etc.), or highlight that donor and change the status at the bottom of the page. If you alter the donor’s profile (E.g. Add a note, change a matching status, etc.) and save those changes, the donor will automatically be moved to the “Pending” category.  The “Needs Follow Up” category is excellent for catching donors who may have fallen through the cracks otherwise.




Settings


Available settings can be accessed by clicking on the small cog in the upper right-hand corner of the Portal. The settings window is used to adjust Portal’s email engagement features, email branding, and notifications. The settings tab is broken down into three main categories: Matching Gift Engagement Plan, Administration Notifications, and Matching Gift Flow.
The primary tab, Matching Gift Engagement Plan gives you control over the what the email’s subject line and body state. [AF1] It also gives you the ability to adjust the interval at which the emails drip and the ability to turn on or off the drip feature. All emails are sent from the email address: no-reply@matchinggifts.com (this can only be changed after authenticating DNS (Domain Name Server) records for the sake of security).  The majority settings adjustments occur here.
Following this are two sections for Administrative Notifications and Matching Gift Flow. These address the logic of notifications, recurring donations, and NPO Auto-Checks for Benevity / YourCause / Cybergrants.




Individual Donation Records

With Portal, you can double click on any potential donor and directly edit or update information. Included in this is the ability to turn on or off drip emails for an individual, mark their progress and tie the donor to you own CRM (Customer Relationship Management). You can find the export tool in the upper right-hand corner of the eMatch Portal dashboard.  This can be used to link back to your Donors outside of Portal. From this interface you can also view the employer's matching gift program as well as create history notes.
